Prepare Extensively

Because we carefully set the stage by getting buy-in from key groups — such as university leadership, student organizations, and other stakeholders — we were able to roll out our BAYU service in a very low-key fashion. Here's what we did:

  • Sent a letter via e-mail to all registered students to

    • Remind them of the risks of peer-to-peer (P2P) file-sharing
    • Let them know how BAYU could help them avoid uploading unwittingly
    • Tell them what to do if they receive a BAYU notification.

  • Sent a press release to two campus newspapers — one published by the administration, the other published by students.

Send an Annual Reminder

To comply with the Higher Education Act of 2008, which requires universities to inform students of their campus policies and the legal implications of downloading and disseminating copyrighted materials. we are now sending a similar letter every year early in the fall semester. The most recent version of the letter is available for your review.

You may want to make your rollout more or less formal than ours, depending on your resources, the size of your target population, and how much time you are able to spend setting the stage before you implement your service.
